Bout Day Coordinator job description
Here are the tasks to complete BEFORE bout day:
1. Get an (or some) awesome assistant(s) to help you with things. Work together or delegate responsibility for getting tasks done. Communication is key.
2. Create, monitor, and promote the volunteer sign-up. Without volunteers, there is no bout. Stay on top of it.
3. Talk to Howser and Manda Lorian and get a list of refs and NSOs. Know which ones will need to sign waivers (USARS, etc.). Have the waivers ready.
4. Get the rosters for the teams that are playing and the names of their coaches for the check-in sheet. Know which onces will need to sign waivers and have the waivers ready.
5. Get a list of sponsors, vendors, jeerleaders, and other miscellaneous people that may need to be added to the check-in sheet.
6. Make sure the other committees have everything they might need from you.
7. Get the bout day agenda (if someone else is doing it) or make it. Post it on the forum if it's not posted. Make copies of the agenda for bout day (probably about 8-10).
8. Make the check-in sheet. Create some sort of system for yourself to know when all volunteers, skaters, vendors, etc. will arrive (or just keep a copy of the agenda and volunteer sign-up genius handy).
Here are the tasks ON bout day:
1. Show up at 10 for set-up. Set up (duh).
2. Keep the WFTDA and USARS folder safe during bout day.
3. Hang up the agendas.
4. Make sure everything's running smoothly and everyone has everything they need.
5. Show vendors and sponsors to their tables and make sure they have everything they need.
6. Coordinate all volunteers.
7. Announce floor times, captains meetings, photos, etc. to teams.
8. Stay calm.
9. Tear down.
I think that's mostly everything? Add to this if you think I missed something or if I'm wrong about anything!
